Privacy Policy

1. Who we are

Del AI (“Del AI,” “we,” “us,” or “our”) operates the website at usedel.ai and provides AI-led migration, implementation, and ongoing improvement services that move companies off proprietary SaaS to open-source software they own. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to information collected on usedel.ai and to accounting data we access with your authorization, as described in Section 3. A signed engagement agreement may add further commitments for that engagement; where its terms are stricter, they control.

2. Information we collect

Information you provide. When you book a consultation or contact us, we collect the details you submit, such as your name, work email address, company, and anything you describe about your current systems or goals. Bookings are handled through Cal.com.

Information collected automatically. When you visit the site we may collect standard analytics data including pages viewed, referring source, approximate location, browser and device type, and a truncated or anonymized IP address, through Google Analytics 4.

3. Accounting data accessed with your authorization

Some of our services require access to your accounting system. When you, or an accounting firm acting with your permission, authorize Del AI to access an accounting platform — for example, by connecting a QuickBooks Online company through Intuit’s secure OAuth authorization — we access the accounting records of that company needed to perform the engagement. Depending on the engagement, this can include the chart of accounts, transactions, customer and vendor lists, items, account balances, and financial reports (“Accounting Data”). Authorization happens on the platform’s own sign-in; Del AI never sees or stores your platform password.

We use Accounting Data solely to deliver the contracted engagement — migrating records between systems and verifying migration accuracy. We do not sell Accounting Data, do not use it for advertising or marketing, and do not use it to train machine learning models, whether our own or a third party’s. Where an AI provider is used to perform the engagement, we use configurations under which submitted data is not used for training and is not retained beyond what is needed to return a response.

You can revoke Del AI’s access at any time from the connected platform (for QuickBooks Online, via Intuit’s connected-app settings). After revocation we can no longer access the platform, and any data already retained is handled as described in Section 7.

4. Cookies and tracking

We use Google Tag Manager to manage scripts and Google Analytics 4 to understand anonymized site usage. Analytics cookies are only activated after you accept them on the consent banner. If you decline, analytics cookies are not set and the corresponding data is not collected. Strictly necessary cookies required for the site to function may still be used.

5. How we use your information

We use the information we collect to respond to consultation requests and inquiries, prepare and deliver the savings or ROI estimates you ask for, operate and improve the website, and communicate with you about our services. We do not sell your personal information to third parties.

6. How we share information

We share information only with service providers that help us operate, including Google (analytics), Cal.com (scheduling), our email provider, and our hosting and infrastructure partners. These providers process data on our behalf under their own terms. Accounting Data is shared only with the infrastructure providers that host our engagement environments (such as Amazon Web Services) and, where an engagement uses one, an AI provider under the no-training configuration described in Section 3 — never with analytics, scheduling, or marketing providers. If an accounting firm authorized our access on your behalf, we also report to that firm as part of the engagement. We do not otherwise share your personal information or Accounting Data except where required by law, to enforce our agreements, or to protect our rights, property, or safety.

7. Data retention

Analytics data is retained for the period configured in Google Analytics 4 (14 months by default). Consultation and contact information is retained for the duration of our business relationship and for as long as needed to meet legal, accounting, or reporting requirements, after which it is deleted or anonymized.

Accounting Data is retained only for as long as needed to complete the engagement, plus the verification and acceptance window agreed in the engagement agreement, after which it is destroyed on schedule. You can request earlier deletion at any time by emailing us; we will comply unless retention is required by law.

8. Your rights and choices

Depending on your location, you may have the right to access, correct, or delete the personal information we hold about you, to withdraw your consent to analytics, or to object to or restrict certain processing. To exercise any of these rights, email hello@usedel.ai. We will respond within the time required by applicable law.

9. Data security

We take reasonable measures to protect your information, including encryption in transit (TLS), encryption at rest for stored data, and access controls based on the principle of least privilege. Accounting Data is processed in isolated, per-client environments, and platform credentials and access tokens are stored in a managed secrets vault. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children’s privacy

Our website and services are intended for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes, take additional steps to notify you where appropriate. Your continued use of the site after an update means you accept the revised policy.
